TriFact365 alternatives in 2026: when you need one and when you do not

TriFact365 is the most honest vendor in this comparison, and that is not a compliment you often get to pay software. On two points it is ahead.

The first is the price. Standard costs ten euros a month for one user and one administration, Plus twenty-six. Every document costs eighteen cents, an extra user €1.65 and an extra administration €3.15.1 At five hundred invoices a month that puts you around a hundred euros. You can work it out on the back of an envelope before you have spoken to anyone, and in this market that is rare: ScanSys, Elvy and Continia publish no rates at all.

The second is that they write down what they do not do. On their own purchase-to-pay page the question and the answer are there in as many words: "Does TriFact365 do the entire purchase to pay process? No. TriFact365 mainly automates the invoice side: scanning, recognising, authorising and posting."2 Compare that with the rest of this market, where "fully automated" sits on every homepage and you only hear in the demo that matching is a separate module.

Beyond that it recognises at line level with AI, sends and receives through a certified Peppol access point, and integrates with ten systems: Exact Online, Exact Boekhoud Gemak, AFAS, King Finance, King ERP, SnelStart, Twinfield, Unit4 Multivers Online, AccountView and Visma eAccounting.3 That is the Dutch SME and accountancy world, neatly covered.

People looking for an alternative usually do so for one of three reasons.

No order matching, and they say so themselves

This is the big one. There is no purchase order matching, in any subscription, not even as an add-on.

For some companies that changes nothing. If you are in services, if you mostly buy subscriptions and one-off work, and if you have no ordering process, there is nothing to match against and at the competition you would be paying for a feature that never runs.

If you do work with purchase orders, this is the most expensive gap in your process. In our time model, matching is 4.4 of the 21.2 hours that five hundred invoices a month cost, and investigating the differences on top of that another 6 hours. Together half the work. TriFact365 touches neither.

In practice it looks like this. The invoice is read in, the lines are sitting there neatly, and then someone opens the order next to it in Exact to check whether those twelve units match the ten that were ordered. That screen-beside-screen is exactly the work you thought you had automated away.

The result is a strange sum. TriFact365 is the cheapest software in this comparison and can at the same time be the most expensive choice, because the cost does not sit in the subscription but in the hours of your accounts payable team. At five hundred invoices that is a hundred euros a month of software against more than ten hours of work a month.

It stops at the invoice

Two things fall outside it that people often notice only after go-live.

The bank. TriFact365 does no reconciliation. Assigning bank transactions to open items, including partial payments and lump payments where one amount has to be spread across seven invoices, stays in your accounting system. For that you are looking at a different category.

The invoice mailbox. At TriFact365 that is an intake channel: you send invoices to it and they get read in. It is not a work queue. The supplier asking whether invoice 24019 has been paid, the credit note that gets promised, the explanation of why less was delivered: that sits in Outlook and someone on your team answers it with an Exact tab open beside it.

The processing repeats, it does not learn

TriFact365's AI recognition works at line level, and that genuinely beats templates per supplier. But recognising is reading, not deciding.

The test we use for this is one question: when your team corrects a posting, does that same correction come back next month? If the answer is yes, the work has moved from typing to checking, and checking is not faster. That the invoice says €12.96 per unit is a reading result. Which general ledger account and which cost centre it belongs to is a decision, and a human still makes it.

That is not a judgement on TriFact365. It is the edge of a category: scan-and-recognise software automates the reading and the preparing, and what is left is the work that needs judgement.

Claridy is an intelligent layer on top of the systems you already have. It runs on Exact Online, NetSuite and Microsoft Dynamics 365, reads from them and writes back to them. Your accounting system stays where it is and no second administration appears, which also means you can stop: switch it off and your books look exactly as they did before.

The difference sits exactly at reason 1. Where TriFact365 reads the invoice in and prepares it, Claridy matches it per order line against the order and the receipt, even when the PO number is not on it. If something does not add up, the task is created for the agent first. It does the arithmetic: converting units, keeping a running total of what has already been invoiced per order line, and the supplier who writes the order number slightly differently still gets matched. The difference is investigated and, within your rules, settled, including the email to the supplier with the difference already worked out. Only when that fails does it reach your team, with the groundwork done.

Where it stops, and this is frankly the most important paragraph on this page: Claridy is more expensive than TriFact365, and it will stay that way. If you have no purchase orders, no bank that demands attention and a mailbox nobody loses hours to, you would be buying something that saves you no work. And if you run on AFAS, Twinfield, SnelStart, King, AccountView, Unit4 or Visma, we cannot help you at all: we do Exact Online, NetSuite and Microsoft Dynamics 365.

What TriFact365 costs

For companies: Standard ten euros a month with one user and one administration, Plus twenty-six. An extra user costs €1.65, an extra administration €3.15, and every document eighteen cents. Accountancy firms pay twenty-six or thirty-nine euros a month, on different tiers. Rates as of 2026-08-01.1

Two things to watch before you do the sum.

Every five pages counts as an extra document. A twelve-page invoice is therefore three documents, and fifty-four cents instead of eighteen. Anyone processing construction stage invoices or itemised phone bills ends up higher than the price page suggested.

And the price scales neatly with your volume, but so do the hours you are left with. That is the sum you actually want to make: what does the subscription cost, and what do the hours after it cost. Work it out with the calculator.

When you simply stay with TriFact365

More often than you would expect from a comparison page, for three reasons.

You have no purchase orders. This is the big one. The largest gap in TriFact365 is a gap you do not fall into if you do not order against orders. Service businesses, agencies, practices and plenty of trading companies sit in that group. Buy from the competition and you get a matching module that never switches on.

Your ERP. If you are on SnelStart, King, AccountView, Unit4 Multivers or Visma eAccounting, the list of vendors that connect properly is short and TriFact365 is on it. We are not.

The price is the argument. If the business case is "we want to stop retyping and nothing more", this is the cheapest way to do that, at a rate you know in advance. Nothing wrong with that.

An alternative only pays off once the invoices that do not add up cost hours structurally, and you are on Exact Online, NetSuite or Microsoft Dynamics 365.

Frequently asked questions

Does TriFact365 do three-way matching?

No. There is no purchase order matching, in any subscription. TriFact365 writes it themselves on their purchase-to-pay page: "TriFact365 mainly automates the invoice side: scanning, recognising, authorising and posting." If you want matching against order and receipt, look at Elvy, ScanSys or Zenvoices, or at Claridy if the investigation afterwards has to go too.

What does TriFact365 cost?

Yes, sending and receiving through a certified access point. With e-invoicing rules coming, that is a reason to stay rather than to leave.

What is the difference between TriFact365 and Blue10?

Blue10 matches on amount with a tolerance from the SME subscription up, and has an approval flow many Exact teams already know. TriFact365 does no matching and is cheaper. If you have no purchase orders, at Blue10 you pay for something you will not use.

What is the best alternative to TriFact365?

There is no best alternative, only a best alternative for your situation. Matching at line level: Elvy or ScanSys. Matching on amount with a familiar approval flow: Blue10. Multiple administrations with your own rules: Zenvoices. The invoices that do not add up, including the investigation and the mailbox: Claridy, on Exact Online, NetSuite or Microsoft Dynamics 365. If you have no purchase orders, the answer is usually that you stay.
